§ 01Capabilities
Six ways to take the
repeat work off the desk.
The proposed scope covers technology for finance and HR operations: the steps around your accounting, payroll and HR systems that are still done by hand. Proposed scope · to be confirmed
Workflow automation
Repeating steps in finance and HR operations turned into scripted, logged runs, with a person approving what matters.
Dashboards and MIS
Management reports built from the data you already hold, refreshed on a schedule and reconciled back to source.
Data processing and migration
Moving accounting, payroll and HR data between systems, with balances reconciled on both sides.
Custom back-office software
Small, focused applications for the gaps your main systems leave: trackers, approval tools, calculators and portals.
Document digitisation
Paper and scanned records turned into indexed, searchable files, with the data you need pulled into structured fields.
IT-enabled back-office support
Routine processing done by a trained team on your systems, to your checklists, with the technology carrying the repeat work.
§ 02How a request moves
Intake to delivery,
one visible line.
Five stages, each with written checks. Nothing skips a stage, and every item leaves a log.
- [intake]REQ-0417 received · channel: secure upload · owner assigned
- [validation]rules v12 · format ok · totals ok · 2 exceptions queued
- [processing]script run complete · exceptions resolved with reasons
- [review]checker: output ties to input · checklist signed
- [delivery]released · run log attached · 0 open items
- 01 / 05intake
Intake
A request or file arrives through one door: a ticket, a secure upload or a scheduled pull. It gets a reference and an owner.
- Reference assigned
- Owner set
- Due date from calendar
- 02 / 05validation
Validation
Format, completeness and totals are checked against written rules. Anything that fails goes back with a reason, not a guess.
- Format and fields
- Control totals
- Master-data match
- 03 / 05processing
Processing
The work itself: scripted where the steps repeat, by a trained operator where judgement is needed.
- Scripted steps logged
- Operator notes
- Exceptions resolved
- 04 / 05review
Review
A second person checks the output against the input and the checklist. Maker and checker are never the same person.
- Maker ≠ checker
- Output ties to input
- Checklist signed
- 05 / 05delivery
Delivery
The output is released through the agreed channel with its run log. Open items are listed, not hidden.
- Agreed channel
- Run log attached
- Open items listed
§ 03Capability matrix
Where each capability
does its work.
Read across a row to see which areas of your operation a capability touches. Read down a column to see what is proposed for one area.
| Capability | Payroll and HR inputs | Accounts and finance | Documents and records | Reports and MIS | Systems and integration |
|---|---|---|---|---|---|
| CAP-01Workflow automation | |||||

PrincipleOne queue · one calendar · one log
The work is only as good
as its record.
Every request has a reference, an owner and a due date. Every output ties back to its input and to the person who checked it.
§ 04Security and data
Controls built
into the pipeline.
Finance and HR data is personal data. The intended controls are designed around the DPDP Act, 2023 and the DPDP Rules, 2025.
- s. 8(1)
- The client (data fiduciary) stays responsible for processing done for it.
- s. 8(2)
- A data processor works only under a valid contract.
- Rule 6
- Reasonable security safeguards: encryption, access control, logs, backups.
- Rule 7
- Breach: affected people told without delay; Board report within 72 hours.
- May 2027
- Most Rules apply eighteen months after publication in November 2025.
Access by name and role
Named accounts only, no shared log-ins. Access granted per engagement and removed when a person moves off it.
Strong sign-in
Multi-factor authentication on systems holding client data, wherever the system supports it.
Encryption
Data encrypted in transit and at rest. Files are exchanged through secure channels, not open email attachments.
Logs you can read
Access and run logs kept, reviewed and retained for at least one year, in line with the DPDP Rules, 2025.
Separation of duties
Maker and checker are different people. Test and live environments are separate. Client data is kept apart by engagement.
Least data
Only the fields a task needs. Masked or tokenised identifiers where the task allows it.
Retention and erasure
Data kept for the agreed purpose and period, then deleted, with a written confirmation of deletion.
Incident response
A written runbook: contain, assess, tell the client without delay so it can meet its own notice duties, then fix the cause.
§ 05Technology
A stack chosen
around your systems.
Tools are picked by category, to fit what you already run. Open formats first, so nothing is locked in. No vendor partnership is claimed.
§ 06Engagement
From first walkthrough
to steady state.
Nothing switches over until one full cycle has run in parallel and the results agree.
- P1
Discovery
Walk through the process with the people who run it. Note inputs, outputs, systems, deadlines and pain points.
- P2
Written scope
What is done, what stays with you, the checks at each stage, turnaround and the data involved.
- P3
Build and transition
Rules, scripts, checklists and access set up in a test environment, then walked through with your team.
- P4
Parallel run
One cycle run alongside your current process. Results are reconciled before anything switches over.
- P5
Steady state
The monthly calendar runs. Exceptions go to owners. The run log is kept.
- P6
Review
A regular review of what was done, what failed, and what should change next.
§ 07Insights
Notes on doing
the work properly.
Automating payroll inputs without losing control
Automate the collecting, checking and reshaping of payroll inputs. Keep approvals, exceptions and the final run with named people. The labour codes make timing and records stricter, not looser.
DPDP duties when a processor handles HR and finance data
The employer decides why and how data is processed, so it is the data fiduciary and stays responsible. A vendor that processes the data for it is a data processor and must work under a contract. Most operational duties begin in May 2027.
Migrating accounting data between systems safely
Treat a migration as a reconciliation exercise: freeze, extract, map, load in trial, prove the balances, run in parallel, cut over, then keep the old records readable for as long as the law requires.
